1. Scope and Provider
These General Terms & Conditions apply to all bookings, trips, retreats, and services offered by Sommera Journeys, operated by Trendify, owned by Linus Zapke, Frobenstraße 86, 12249 Berlin, Germany, email: linus.zapke@gmail.com.
By completing a booking, the participant confirms they have read and agreed to these Terms & Conditions in full. Participation is not possible without acceptance of these terms.
2. Booking and Contract
A binding contract is formed when the participant submits a booking request and receives a written confirmation from Sommera Journeys via email. The participant must have full legal capacity. Bookings on behalf of minors require written consent from a parent or legal guardian.
The participant is responsible for immediately notifying Sommera Journeys of any changes to personal data relevant to the execution of the contract (e.g. passport renewal, change of contact details). Sommera Journeys is not liable for consequences arising from late or incorrect information provided by the participant.
3. Payment
Upon booking confirmation, a deposit of 20–30% of the total trip price is due within 24 hours. The exact deposit amount will be stated in the booking confirmation. Failure to pay the deposit within this period will result in automatic cancellation of the reservation.
The remaining balance is due no later than 8 weeks (56 days) before the trip start date. If a booking is made less than 8 weeks before departure, 100% of the price is due immediately upon confirmation.
Payments can be made via PayPal or Stripe. Flexible payment plans may be available upon request — please contact us directly.
If the remaining balance is not received by the due date, Sommera Journeys reserves the right to cancel the booking. The cancellation policy (Section 6) applies in such cases. No discounts or promotions introduced after the booking date apply retroactively.
The trip price may be adjusted in exceptional cases due to increases in transport costs, official fees, taxes, or significant currency fluctuations. Any price increase will be communicated no later than 21 days before departure. No price changes are permitted within 20 days of departure. If the price increase exceeds 8%, the participant has the right to withdraw from the contract without cancellation fees within 7 days of notification.
4. Included and Excluded Services
The services included in each trip are described in detail on the respective trip page. Unless explicitly stated, the following are not included:
International and domestic flights
Travel insurance
Personal expenses and gratuities
Visa fees and entry requirements
Local taxes (e.g. city tax, resort fees)
Any services not explicitly listed as included
Free additional activities do not form part of the contracted trip and may be changed or cancelled at any time without reason. Paid optional extras will be refunded if cancelled by the organizer.
5. Accommodation and Room Assignment
Sommera Journeys organizes shared accommodation. Room and apartment assignments are made at the sole discretion of the organizer. Participants may express preferences (e.g. groups of friends), and we will make reasonable efforts to accommodate these — however, preferences are not binding.
If a participant books a single place in a shared room and no single rooms are available, other participants may be placed in the same room. If the participant does not accept a roommate, they may pay a supplement for the remaining places in the room.
Participants are obliged to follow all house rules and regulations of the accommodation facility. Any damages caused by a participant will be charged to that participant.
6. Cancellation by the Participant
All cancellations must be submitted in writing to linus.zapke@gmail.com. The date of receipt of the written cancellation is decisive. The following cancellation fees apply:
More than 8 weeks before departure: Full refund minus the deposit
5–8 weeks before departure: 50% refund of the total trip price
3–5 weeks before departure: 25% refund of the total trip price
Less than 3 weeks before departure: No refund
No-show: If a participant fails to appear at the designated meeting point at the start of the trip without prior written notice, this will be treated as a cancellation with no refund.
The participant may nominate a substitute person to take their place, subject to approval by Sommera Journeys and at least 7 days before departure. A handling fee of 10% of the total trip price may apply. All costs related to the change are borne jointly by the original and substitute participant.
7. Cancellation by Sommera Journeys
Sommera Journeys reserves the right to cancel a trip if:
The minimum number of participants (60% of maximum capacity) is not reached — participants will be notified at least 14 days before departure
Force majeure events occur (e.g. natural disasters, pandemics, political unrest, official travel warnings)
In the event of cancellation by Sommera Journeys, participants will receive a full refund of all payments made within 14 days. Further compensation claims are excluded unless caused by intentional or grossly negligent conduct on our part.
8. Travel Documents
The participant is solely responsible for ensuring they hold valid travel documents (passport, visa, ID) required for all countries visited. Sommera Journeys is not liable for denied entry or costs arising from missing or invalid documents. Failure to travel due to missing documents does not entitle the participant to a refund.
9. Liability
Sommera Journeys is not liable for:
Accidents, injuries, illness, or death during the trip, unless caused by our gross negligence
Loss, theft, or damage to personal belongings — including money, valuables, electronics, or luggage left unattended
Services provided by third-party suppliers (hotels, transport providers, activity operators)
Force majeure events
Consequences of missing or invalid travel documents
Participants take part in all activities at their own risk. Sommera Journeys reserves the right to exclude participants from specific activities if their health or behavior poses a risk to themselves or others.
10. Travel Insurance
We strongly recommend that all participants take out comprehensive travel insurance prior to departure, including coverage for:
Trip cancellation and interruption
Medical expenses and emergency evacuation
Loss or theft of personal belongings
Sommera Journeys accepts no liability for costs arising from the absence of adequate travel insurance.
11. Participant Conduct
All participants are expected to treat fellow travelers, hosts, and locals with respect. Sommera Journeys reserves the right to exclude any participant from a trip — without refund — if their behavior is deemed harmful, disruptive, illegal, or incompatible with the group experience. All costs arising from such exclusion are borne by the participant.
12. Accessibility and Health
Participants with health conditions, physical limitations, or accessibility needs are encouraged to contact us before booking. We will make every reasonable effort to accommodate individual needs and ensure equal participation. It is the participant's responsibility to ensure they are medically fit to participate in the booked trip and activities.
13. Photos, Videos and Image Rights
Sommera Journeys may capture photos and videos during trips for use in marketing materials and on social media platforms including Instagram, Facebook, YouTube, TikTok, and our website. By participating in a trip, participants consent to the use of their image in this context.
Participants who do not wish to appear in published media must inform us in writing before the trip. We will respect all such requests. This consent may be withdrawn at any time in writing.
14. Complaints
If a participant experiences an issue during the trip, they should notify Sommera Journeys immediately so that we have the opportunity to resolve it on-site.
Formal complaints must be submitted in writing to linus.zapke@gmail.com within 30 days of the end of the trip. The complaint should include the participant's name, trip details, a description of the issue, and any relevant supporting documentation.
We will respond within 30 days of receiving the complaint. Late complaints may not be considered.
15. Data Protection
Personal data is processed in accordance with our Privacy Policy, which complies with the EU General Data Protection Regulation (GDPR). Providing personal data is voluntary but necessary for participation in our trips.
16. Applicable Law and Jurisdiction
These Terms & Conditions are governed by the laws of the Federal Republic of Germany. Place of jurisdiction is Berlin, Germany, to the extent permitted by law.
17. Severability
Should any provision of these Terms & Conditions be or become invalid, the validity of the remaining provisions shall not be affected. The invalid provision shall be replaced by one that most closely reflects the intended purpose.
